Learning Agreement and Changes

Once your host university placement has been accepted, you must contact the academic coordinator of the agreement in order to complete the enrolment procedures required by the host institution and proceed with the compilation of the Learning Agreement.
The Learning Agreement (downloadable from the University website) must list the units you will complete at the host university and the corresponding Italian units to be recognised upon your return to Italy. It must be signed by the student, the Agreement Coordinator, and the host university.

If you need to modify your Learning Agreement during your stay abroad, you may do so by agreeing on the new units via email with your Coordinator and making the corresponding changes in the Changes form. In this case, too, the form must be signed by the student, the Agreement Coordinator, the Course Director, and the partner university, and then sent to the International Relations Office.

Please remember that a student visa is required to stay in non-EU countries. You can obtain it by submitting a request to the relevant embassy once you have received the Nominal Letter of Acceptance from the host university.
Before the start of the mobility period, every student must visit the Viaggiare Sicuri website of the Italian Ministry of Foreign Affairs and International Cooperation and carefully assess the conditions of the destination country during the mobility period.

A private health and accident insurance policy is strongly recommended—if not explicitly required by the partner institution—since the European Health Insurance Card (EHIC) is not valid outside European countries.

Recognition of Activities

Before returning to Italy, you must obtain from the International Relations Office of the host institution the signed mobility period certificate confirming the exact start and end dates of your study period abroad. This document is required to calculate the exact number of months of your scholarship.

For reimbursement purposes, make sure to keep the flight ticket receipt and boarding pass, which must be submitted upon your return to the International Mobility Office
(outgoing.extraue(AT)unifi.it) in order to receive reimbursement, according to the criteria and procedures set out in the call for applications.

For the recognition of exams completed during the mobility period, you must submit a request to the International Relations Office once you have received the Transcript of Records (ToR)—the official document issued by the host university listing the exams you completed during your study period abroad, including credits and grades.

From this point, the procedure involves review and approval by the Degree Programme Council / Teaching Committee, after which the credits and grades are recorded in your academic transcript by the Student Administration Office.

Please note that the recognition procedure takes approximately 8 weeks from the moment all required documents are submitted to the Erasmus Office (Transcript of Records, recognition request, mobility period certificate, Learning Agreement and any Changes).
You are therefore advised to carefully consider any deadlines related to the submission of your graduation application.
